Payment and Refund Policy

Last updated: 26 October 2026

Scope of the Policy and the Products or Services It Covers

This Payment and Refund Policy applies to all bookings and purchases made through upnewsra for specialised courses in live production decks and control rooms. These include training in multi-camera switching, live broadcasting techniques, real-time video operation, and professional management of television and streaming productions. The policy covers both in-person and online delivery formats offered to customers in the United Kingdom. It does not extend to third-party services or products purchased separately from our training programmes.

Prices, Currencies, Taxes, and Any Additional Charges

All prices are displayed in British Pounds Sterling (GBP) and include value added tax at the prevailing UK rate where applicable. Course fees are fixed at the time of booking and may vary according to course duration, level, and delivery method. Additional charges such as examination fees, certification costs, or optional equipment hire are clearly stated before payment is completed. No hidden fees are applied after the contract is formed. Customers are responsible for any bank charges or currency conversion fees incurred when paying from outside the UK.

Accepted Payment Methods, Payment Authorisation, and Payment Security

We accept major credit and debit cards, bank transfers, and secure online payment gateways. Payment is authorised immediately upon submission of booking details. All transactions are processed through encrypted systems compliant with UK data protection standards. Authorisation confirms that sufficient funds are available. In the event of payment failure, the booking will not be confirmed until successful authorisation is received.

Order, Booking, or Service Confirmation and When a Contract Is Formed

A binding contract is formed when we send a written confirmation email following receipt of full payment or a valid booking request. This confirmation includes course details, start date, location or access instructions, and terms. Until confirmation is issued, no contract exists and any payment received will be held pending verification. Customers must review all details in the confirmation email immediately upon receipt.

Cancellation Rights and Applicable Cancellation Periods

Under UK consumer law, customers have a 14-day cooling-off period from the date the contract is formed for distance sales. This right applies unless the course has already commenced or digital content has been accessed. For courses starting within the cooling-off period, cancellation must be notified before the start date to qualify for a full refund. Once the course begins, cancellation rights are limited to the terms set out in this policy.

Refund Eligibility, Exclusions, and Non-Refundable Items or Services

Refunds are available for cancellations made more than 14 days before the course start date. No refunds are provided for cancellations within 14 days of the start date, non-attendance, or partial attendance. Digital course materials, once accessed, are non-refundable. Promotional or discounted bookings may have stricter refund conditions stated at the time of purchase. Refunds will not be issued for services already delivered or for customer-initiated changes to booking dates.

The Step-by-Step Procedure and Information Required to Request a Refund

To request a refund, customers must submit a written request via the contact form on our Contacts page or by emailing [email protected]. The request must include the booking reference number, full name, contact details, course title, and reason for cancellation. Requests received by post to Beaconsfield Studios, Station Road, Beaconsfield, Buckinghamshire, HP9 1LG or by telephone on 01494 671234 will also be accepted. All required information must be provided to allow processing within the stated timeframes.

Inspection, Approval, Rejection, and Notification of the Refund Decision

Upon receipt of a complete refund request, we will inspect the booking details and confirm eligibility within 10 working days. Customers will receive written notification of approval or rejection by email. If rejected, the notification will explain the reason and any available options for appeal. Approved refunds will proceed to processing without further action required from the customer.

Refund Method, Processing Time, and When Funds Should Reach the Customer

Refunds are issued using the original payment method. Processing takes up to 14 working days from approval. Bank transfers or card refunds may take an additional 3 to 5 working days to appear in the customer's account depending on the provider. Customers will be notified once the refund has been issued.

Special Rules for Digital Content, Subscriptions, Services, or Promotional Offers

Online course modules and digital resources are treated as digital content. Access to these materials constitutes acceptance and removes the right to cancel under the 14-day rule. Subscription-based or multi-session courses are billed in full at the outset. Promotional offers are subject to the specific terms displayed at purchase and may exclude refunds even within the cooling-off period if stated clearly.

Failed Payments, Duplicate Charges, Chargebacks, and Suspected Fraud

In cases of failed payment, customers will be notified and given the opportunity to retry. Duplicate charges will be investigated and refunded automatically if confirmed. Chargeback requests are reviewed in accordance with UK banking rules. Suspected fraudulent activity may result in immediate cancellation of the booking and reporting to relevant authorities. Customers will be informed of any such action taken.

Mandatory Consumer Rights in the Target Country That the Policy Cannot Exclude

This policy does not affect any statutory rights under the Consumer Rights Act 2015, Consumer Contracts Regulations 2013, or UK GDPR. Customers retain the right to remedies for faulty services or misdescribed courses regardless of the terms stated here. Nothing in this policy excludes liability for death, personal injury, or fraud.
